Adoption and implementation

Change Management

Veränderungsmanagement; Change-Management

What it means

Change management is the structured approach to helping people and organisations move from current ways of working to new ones, including communication, involvement, training, support and addressing concerns. In AI adoption, it addresses how roles, tasks and responsibilities change.

Real-world example

Before introducing AI-assisted case summaries in a social services department, the project team involves staff representatives early, runs workshops where caseworkers help design the review process, clearly communicates that the aim is to reduce paperwork rather than staff numbers, and sets up a feedback channel that leads to visible changes.

Why it matters for AI adoption

Many AI initiatives fail for human rather than technical reasons: fear about jobs, lack of trust, unclear responsibilities or tools that do not fit real work. In Germany, staff representatives often have co-determination rights over systems that can monitor performance, so early involvement is both good practice and often required.

Questions to ask

  • How are the people affected involved in designing how AI changes their work?
  • Have staff representatives been involved early, and what are their concerns?
